Destination Wedding Checklist
STS Vacations has designed a time line checklist to assist you in planning your destination wedding. Even if you are planning a last minute wedding, this checklist will provide all of the information you will need. In addition to the checklist, STS Vacations will provide you with a wedding travel coordinator to help guide you and arrange the perfect destination wedding.
12 Months or More
- Create your own Wedding Planner.
- Keep photos and write down ideas.
- Envision where you want to go for your destination wedding.
- Decide on a budget and make a list of who is paying for what.
- Put together your guest list. Include everyone who may or may not travel.
- Start shopping for your bridal gown.
11 Months
- Start putting together a file on the details your would like include in your destination wedding.
- Decide on wedding date.
- Send out "save the date" cards to your guests.
- Research locations before you decide on your destination. Consider things like the time of year you are traveling (think about hurricane season), weather, amenities, etc.
- Contact your STS Vacations wedding travel consultant.
- Research travel arrangements for guests.
- Choose your bridesmaids/groomsmen and ask them to be in the wedding party.
9-10 Months
- Find out legal requirements to marry at the destination wedding location and begin fulfilling the requirements.
- Apply for your passports if required for travel.
- Make travel arrangements with your STS Vacations wedding travel consultant..
- Reserve the lodging accommodations for wedding party.
- Research any cultural traditions you would like to add into your ceremony or reception.
- Announce engagement in local newspaper.
- Finalize your guest list.
7-8 Months
- Register for gifts.
- Reserve your airline tickets.
- Think about how you would like to wear your hair.
- Decide on the formality of your wedding and select your colors.
- Choose your invitations.
- Purchase wedding dress.
- Order bridesmaid dresses.
- Order groom and groomsmen attire.
- Shop for wedding rings.
4-6 Months
- Work on ceremony details.
- Finalize menu and wedding cake order.
- Make sure maid of honor and best man are aware of what you expect of them. It’s a good idea to make up a list.
- Finish getting together your addresses for the wedding invitations and mail them. Be sure to include all of the travel details with your invitations.
2-3 Months
- Choose your bridesmaids accessories and purchase or give them purchasing information.
- Start your seating charts.
- Call any guest who has not responded.
- Purchase wedding rings.
- Make sure attendants have purchased their dresses and accessories.
- Arrange for all insurance policies to include your soon to be spouse.
- Provide guest list to your maid of honor bridesmaid for bridal shower.
3-4 Weeks
- Release any unused rooms.
- Finalize all wedding day itineraries.
- Confirm travel arrangements.
- Begin working on vows if you are writing your own.
- Start writing your ceremony program.
- Buy gifts for your best man, groomsmen and ushers.
- Send out emails to wedding providers who have been contracted to finalize the details.
- Do trial run with your hair and makeup.
1-2 Weeks
- Get a final count of everyone traveling.
- Plan a get together with your attendants to thank them for all of their help.
- Shop for your travel accessories and start packing.
- Touch base with your wedding coordinator to confirm the final details of your wedding.
- Prepare toast to friends and family.
Day Before Departure
- Confirm flights.
- Put together last minute emergency kit (Advil, makeup, mints, gum for flight, etc.).
- Set your alarm clock (you don’t want to miss your flight).
- Get some rest.
3 Days Prior to Wedding
- Arrive at wedding destination.
- Meet with banquet manager.
- Go over details.
- Go to the beauty salon.
- Spend time with friends and family.
- Spend time with your sweetheart.
Wedding Day
- Try to relax because everything has been taken care of.
- Say “I DO” and enjoy your special day!
